Forms & surveys buyer's guide

What is Forms & surveys software?
Form and survey software lets you build online questionnaires, collect responses and send the data where it is needed: a spreadsheet, CRM, email tool or dashboard. Typical uses are contact and lead forms, registrations, job applications, order and payment forms, customer feedback, NPS and employee surveys, and market or academic research.
Tools range from simple builders such as Google Forms and Tally, through conversational and design-led products such as Typeform, Paperform and Youform, to research and experience platforms such as SurveyMonkey, QuestionPro and Qualtrics that add panels, statistical analysis and benchmarks. Formstack and Zoho Forms focus on workflows, approvals and sensitive data.
Forms overlap with landing page builders, chatbots and customer experience platforms. Formspree is a backend for forms you code yourself, Landbot turns forms into chat flows, and Formbricks and Pisano run in-product or multichannel feedback programmes rather than one-off surveys.
Key features to look for
- Conditional logic
- Showing or skipping questions based on earlier answers means respondents only see what applies to them. Check whether logic, calculations and hidden fields are on the plan you will buy.
- Response limits
- Many plans cap monthly responses, and that cap is often what forces an upgrade. Tally and Youform offer unlimited free responses; elsewhere, check what happens when you exceed the limit.
- Integrations and webhooks
- Responses are only useful once they reach your CRM, sheet or database. Check native connectors for Google Sheets, HubSpot, Notion or Airtable, plus webhooks and Zapier or Make support.
- Payments and e-signature
- Order, booking and contract forms need payment collection and signatures. Check which payment providers are supported and whether the vendor adds its own transaction fee.
- Analysis and reporting
- Surveys need filters, cross-tabs and exports, not just a list of answers. Research tools like QuestionPro and Qualtrics add statistical tests, text analysis and benchmarks.
- Branding and embedding
- Removing vendor branding and using a custom domain usually requires a paid plan. Test how the form looks embedded on your site and on a phone.
- Security and compliance
- Forms collect personal data, so check encryption, data region, consent fields and, for health or finance data, HIPAA-ready plans such as those Formstack and Jotform offer.
How to choose Forms & surveys software
- 1
Define the job
A lead form, an NPS programme and a research study need different tools. Write down the main use and the expected monthly response volume before comparing.
- 2
Check the response cap
Estimate peak monthly responses and compare plans by that number, not by form count. Response limits drive more upgrades than features do.
- 3
Map the data flow
Decide where every answer should land and test that integration during the trial. A form that needs manual exports will be abandoned.
- 4
Test on mobile
Most respondents answer on phones. Fill in your own form on a small screen and time it; one question per screen suits some audiences, a single page suits others.
- 5
Review consent and data handling
Add the privacy notice and consent checkboxes you need and check where data is stored. For sensitive data, prefer tools with data region options and a signed data processing agreement.
- 6
Compare annual cost at your volume
Price the plan you will need in month twelve, including extra users, branding removal and payment fees, then compare annual billing.
Forms & surveys pricing
- 89%
- offer a free plan, free tier or open-source edition
- $39
- median starting price per month
- $12
- lowest paid starting price (Zoho Forms)
Form builders usually price by monthly responses, number of forms and features, with a free tier and two or three paid tiers. Jotform and Typeform raise response and form limits as you move up, while Tally and Youform give unlimited forms and responses for free and charge for branding removal, custom domains and advanced features. Google Forms is free with a Google account.
Survey and research platforms such as SurveyMonkey, QuestionPro and Qualtrics charge per user and feature set, and enterprise contracts are quoted individually. Watch for extra seats, payment transaction fees, compliance add-ons, panel responses billed separately and price jumps when you cross a response threshold mid-cycle.

Forms & surveys trends in 2026
AI form generation is now standard: Jotform, Typeform and forms.app can draft a form from a prompt, and survey tools summarise open-text answers into themes. Jotform has gone further with AI agents that let people fill in forms through a conversation. Survey platforms are also moving from one-off surveys to continuous feedback through in-app and post-interaction surveys.
Tools that offer unlimited free responses, such as Tally and Youform, have made response caps a weaker selling point, and open-source options like Formbricks give teams a self-hosted route for privacy-sensitive feedback.
Common mistakes to avoid
- Asking too many questions, which lowers completion rates and fills your data with rushed answers.
- Collecting personal data without a privacy notice or without a separate consent checkbox for marketing.
- Picking a plan by form count and then hitting the monthly response cap in the middle of a campaign.
- Leaving responses in the form tool instead of connecting them to the CRM or sheet where people act on them.
- Publishing a form without testing it on a phone and through every logic branch.
Forms & surveys in Turkey
Jotform was founded by Turkish entrepreneur Aytekin Tank and offers a Turkish interface, Pisano is a Turkish-founded experience management platform, and Google Forms is fully localised. Under KVKK, any form that collects personal data needs a privacy notice (aydınlatma metni), and marketing consent must be a separate, unticked opt-in. If you will send commercial SMS or email to respondents, that consent must also be registered in İYS. For payment forms, check iyzico or PayTR support, since most global form tools rely on Stripe or PayPal, neither of which serves Turkish businesses.

- What is the best free form builder?
- Google Forms is fully free and enough for simple surveys and internal forms. Tally offers unlimited forms and responses on its free plan with more design control, and Youform and forms.app are other generous free options. Paid plans mainly add branding removal, custom domains and advanced logic.
- Typeform vs Google Forms: which should I use?
- Use Google Forms for quick, free internal surveys and quizzes where looks matter little. Choose Typeform when the form faces customers and completion rates matter, since its one-question-at-a-time design, logic and integrations are stronger, though responses are limited by plan.
- How much does survey software cost?
- Simple form builders have free plans and paid tiers priced by responses and features. Research platforms such as SurveyMonkey and QuestionPro charge per user, and Qualtrics is mostly sold through custom enterprise quotes. The live prices on this page show current starting points.
- What is a good Typeform alternative?
- Tally and Youform offer a similarly clean experience with far more free responses. Fillout is strong if your data lives in Airtable or Notion, and Paperform suits forms that double as landing or order pages. Landbot is the choice for chat-style forms, including on WhatsApp.
- Is Qualtrics worth it compared with SurveyMonkey?
- Qualtrics pays off for large organisations running ongoing customer, employee and research programmes with advanced analytics and governance. For most small and mid-sized teams, SurveyMonkey, QuestionPro or SurveySparrow cover surveys and NPS at a much lower cost and with less setup.
- Do online forms need to comply with KVKK or GDPR?
- Yes, whenever they collect personal data such as names, emails or phone numbers. Show a privacy notice, collect only what you need, ask for marketing consent separately, and check where the tool stores data and whether it signs a data processing agreement.
