Email marketing buyer's guide

What is Email marketing software?
Email marketing software is a platform for building a subscriber list, sending newsletters and campaigns, and automating emails that trigger on signups, purchases or other behaviour. It handles the work a normal inbox cannot: list and consent management, unsubscribes, domain authentication for deliverability, templates, segmentation and reporting on clicks, conversions and revenue.
Creators use it to run newsletters, online stores use it for welcome, abandoned cart and post-purchase flows, SaaS companies use it for onboarding and product updates, and B2B teams use it to nurture leads before sales steps in.
It overlaps with neighbouring categories but is not the same thing. A CRM manages deals and sales pipelines; a transactional email API such as Resend sends receipts and password resets from your code; a customer engagement platform such as Insider adds push, in-app and SMS on top of a customer data layer. Many tools now blend these jobs, so decide which one matters most to you.
Key features to look for
- Visual automation builder
- Welcome series, abandoned cart and win-back flows usually earn more than one-off campaigns. Check that you can branch on behaviour, wait for events and remove people from a flow once they convert.
- Segmentation and custom fields
- Sending everything to the whole list lowers engagement and hurts deliverability. Look for segments built on tags, purchase history, engagement and custom data synced from your store or app.
- Deliverability and authentication
- Gmail and Yahoo now require SPF, DKIM, DMARC and one-click unsubscribe from bulk senders. Check how the tool guides domain setup, monitors spam complaints and whether dedicated IPs are available.
- Store and app integrations
- Native sync with Shopify, WooCommerce or your product database lets flows trigger on real events and attribute revenue to emails. Check sync frequency and whether past orders are imported.
- Responsive template editor
- A drag-and-drop editor that outputs mobile-friendly HTML saves design time. Check for saved blocks, brand settings, dark mode previews and raw HTML editing.
- Consent and list hygiene
- Double opt-in, timestamped consent records, suppression lists and automatic bounce removal protect your sender reputation and help you prove consent under GDPR or KVKK.
- Revenue and click reporting
- Apple Mail Privacy Protection inflates open rates, so clicks, conversions and revenue per email are more reliable signals. Check whether reports connect emails to orders or signups.
How to choose Email marketing software
- 1
Define the main use case
A newsletter, ecommerce flows, SaaS lifecycle email and B2B lead nurturing each favour different tools. Pick the job that drives the most revenue and judge tools on it first.
- 2
Map your data sources
List where customer data lives, such as your store, app database or CRM, and confirm the tool can receive events and properties from each without custom glue code.
- 3
Price the plan you will need in a year
Most plans scale with contacts or sends, so estimate list growth and price that tier, including SMS credits and extra seats, not just today's entry plan.
- 4
Test deliverability during the trial
Authenticate your domain, send test campaigns to seed inboxes at Gmail, Outlook and Yahoo, and check whether messages land in the inbox, promotions or spam.
- 5
Build one real flow
Recreate your welcome or abandoned cart flow end to end. It exposes editor limits, missing triggers and weak reporting faster than any feature list.
- 6
Check export and migration
Make sure you can export contacts, tags, consent dates and unsubscribes, and ask whether templates and automations can be imported from your current tool.
Email marketing pricing
- 50%
- offer a free plan, free tier or open-source edition
- $20
- median starting price per month
- $9
- lowest paid starting price (Brevo)
Most email marketing tools price by the number of contacts on your list, with higher tiers unlocking automation, advanced segmentation and more users. Mailchimp, Klaviyo and Kit follow this model, so the bill grows with the list even if you send rarely. Brevo is the main exception: its plans are priced mainly by monthly email volume rather than list size, which can suit large lists you email occasionally. Developer tools such as Resend price by emails sent.
Watch for hidden costs: unsubscribed or inactive contacts that still count toward billing, SMS credits sold separately, paid add-ons for dedicated IPs or extra seats, and low monthly prices that apply only to annual billing. Free plans usually show the vendor's branding and cap contacts or sends.

Email marketing trends in 2026
Mailbox providers have raised the bar. Gmail and Yahoo began enforcing bulk sender rules in 2024 (authentication, DMARC, one-click unsubscribe and low spam complaint rates), and Microsoft introduced similar requirements for Outlook.com in 2025, so deliverability setup is now a baseline. AI is built into most platforms for subject lines, copy drafts, segment suggestions and send time optimisation.
The market is also blending. Newsletter platforms add ad networks and paid subscriptions, ecommerce tools add SMS and customer data, and CRMs bundle email. Since open rates became unreliable, teams report on clicks and revenue instead.
Common mistakes to avoid
- Importing purchased or scraped lists, which damages sender reputation and breaks GDPR, KVKK and İYS rules.
- Sending from a free mailbox address or skipping SPF, DKIM and DMARC on your own domain.
- Choosing a tool on today's list size without pricing the plan you will need after a year of growth.
- Judging campaigns by open rate alone, even though privacy features make opens unreliable.
- Never removing inactive subscribers, which lowers engagement and raises the bill on contact-based plans.
Email marketing in Turkey
Commercial email and SMS to consumers in Turkey fall under Law No. 6563, and consent must be registered in İYS (İleti Yönetim Sistemi) before you send; recipients without consent in İYS should not receive marketing messages. Mobildev, Netgsm and İleti Merkezi combine SMS with İYS integration, while Insider, Netmera, SmartMessage, Related Digital and Segmentify serve larger Turkish brands. Global tools bill in USD or EUR by card and usually store data abroad, so review KVKK transfer rules.
Email marketing FAQ
- What is the best Email marketing software?
- Based on community votes and market presence, the leading Email marketing tools right now are HubSpot, Mailchimp, Brevo.
- Are there free Email marketing tools?
- Yes. 2 tools in this category are free or open source, including Ghost, Substack.
- What is the cheapest paid Email marketing tool?
- Brevo has the lowest listed starting price at $9.00 per month.
- What is the best free email marketing tool?
- MailerLite, Brevo and Kit all have free plans that cover a small list with basic automation. Brevo's free plan allows a large contact list but caps daily sends, while MailerLite and Kit cap subscribers. Substack is free to use but keeps a share of paid subscription revenue.
- How much does email marketing software cost?
- Most tools start with a free plan or a low monthly fee for a small list, then rise with the number of contacts or emails sent. Costs climb quickly for ecommerce brands with large lists and SMS, so price the tier you will reach in a year. Live starting prices for each tool are shown on this page.
- Mailchimp vs Klaviyo: which is better?
- Klaviyo is the stronger choice for online stores because it syncs order and browsing data deeply and attributes revenue to each flow. Mailchimp is easier to start with and covers newsletters, simple automations and small stores at a lower cost. If ecommerce revenue is your main goal, test Klaviyo first.
- What is the difference between marketing and transactional email?
- Marketing email is sent to a list for promotion or content and needs consent and an unsubscribe link. Transactional email, such as receipts and password resets, is triggered by a user's own action. Resend sends transactional email from code, and Loops covers both types for SaaS companies.
- beehiiv vs Substack: which is better for a newsletter?
- Substack is free to start and has a built-in reader network, but it keeps a percentage of paid subscription revenue and offers less control over design. beehiiv has a free plan for smaller lists, and its paid plans take no share of subscription revenue while adding growth tools, an ad network and more control over your site. Ghost is the open-source option if you want complete control.
- Do I need SPF, DKIM and DMARC?
- Yes, if you send marketing email from your own domain. Gmail and Yahoo require authentication from bulk senders, and DMARC is mandatory above their volume thresholds. Most tools in this category guide you through adding the DNS records, and setup usually takes less than an hour.
