Akiflow

Akiflow is a desktop and mobile planner built around one idea: pull every task into a single inbox, then time-block it on your calendar. It imports tasks from Gmail, Slack, Notion, Asana, Jira, Todoist, ClickUp, Trello and other tools, so requests that arrive in a Slack thread or a starred email do not get lost across separate apps.

The core workflow runs through a keyboard-driven command bar: capture a task from anywhere, triage the inbox, drag items onto Google or Outlook calendars and reschedule with shortcuts. Daily and weekly planning rituals guide you through reviewing what got done and what moves to tomorrow, booking links let others schedule time with you, and an AI assistant can create tasks and plan from natural language. There is no free plan; Akiflow sells a single Pro subscription after a trial, with a lower price for annual billing.

Akiflow fits knowledge workers, managers and founders whose work arrives through many channels and who already plan by time-blocking. It is less suited to casual to-do users or to teams looking for shared project management, since it is primarily a personal tool. Sunsama offers a calmer, more guided daily planning ritual at a similar price, Motion leans harder on automatic AI scheduling, and Todoist with a calendar view is far cheaper if you mainly need a task list. Akiflow's advantage is the breadth of its integrations combined with keyboard speed.

Todoist

Todoist is a task manager made by Doist, a fully remote company founded by Amir Salihefendić, who started Todoist as a side project in 2007. It is known for fast natural-language input, a clean design and apps on almost every platform, including web, Windows, macOS, Linux, iOS, Android, smartwatches and browser extensions.

Typing a phrase such as 'pay rent every 1st at 9am' creates a recurring task with the right date, and projects, sections, sub-tasks, labels, priorities and saved filters organize everything. Board and calendar layouts, two-way Google Calendar sync and task durations put work into time. Integrations connect Todoist with Gmail, Slack, Outlook and automation tools. The free Beginner plan covers five personal projects; Pro adds reminders, the calendar layout, many more projects and filters and an AI assistant that helps break tasks down; Business adds a shared team workspace with roles and templates. Doist also makes Twist, an asynchronous team messaging app.

Todoist suits individuals and small teams that want a reliable, cross-platform task list that stays out of the way. It is not a full project management tool, with no dependencies or resource planning, and the free plan's reminders and filters are limited. TickTick adds habits and a Pomodoro timer at a similar price, Things is a calm Apple-only alternative, and Asana or ClickUp fit teams that need full project management.
